How It Works

  1. Book supply staff through Zen Supply as usual.
  2. On the day the booking starts, their vetted details will appear automatically on your SCR dashboard.
  3. Identity check the supply staff when they arrive at school and record it easily.
  4. When the booking ends, their record is automatically archived—keeping your SCR current without needing manual updates.

This aligns with KCSIE 2024, paragraph 275, which states that supply staff must be included on the SCR even if they work for just one day. The SCR must reflect who is currently working in your school, not those scheduled for future dates.

How long will the supply staff stay on my SCR?

Supply staff will appear on your Vetting dashboard on the day their booking starts. They will stay visible until the end of their booking. After that, their details will be moved to the Archived section on the Staff page.


What happens if a booking is cancelled or staff are replaced?

The Zen Vetting platform updates automatically every 15 minutes.

  • If a booking is cancelled, the supply staff will be removed from your SCR.
  • If a replacement is sent, the new staff member will automatically appear on your SCR.

What if a supply staff member comes back in two months?

If a staff member returns after previously working at your school, their profile will automatically be unarchived on the new booking start date. Their details will then appear on your Vetting dashboard again—no need to re-add them.


I’ve made a booking, but I don’t see the supply staff on my SCR?

Supply staff will only appear on your SCR on the day their booking begins. This is because KCSIE 2024 makes clear that the SCR must reflect who is currently working at the school (paragraph 275). Future bookings are not shown in advance to maintain compliance.


Why is there a difference between the vetting profile and the booking confirmation email?

Vetting details might change between the time your school receives the confirmation email and the staff member’s actual start date. The SCR always displays the most up-to-date information available at the time of entry.


What should I do if I already have the same supply staff on my SCR?

To avoid duplicate records, we recommend archiving all existing Zen supply staff entries on your SCR. From now on, Zen will automatically update their details each time they’re booked.
