Removing Staff from Your SCR
KCSIE 2024 (paragraph 287) states:
“The details of an individual should be removed from the single central record once they no longer work at the school or college.”
This means the SCR should only include people who are currently working at your school or college.
What About Staff Who Come and Go? (Like Music Teachers)
Sometimes staff only work during certain terms – such as visiting music teachers or sports coaches.
If they are not under contract and not working this term, you should:
- Remove them from the active SCR
- Re-add them when they return
In Zen, you can archive their record instead of deleting it, which avoids having to re-add their information.
How to Archive a Staff Member in Zen
- Go to the ‘Staff’ section in Zen.
- Search for and click on the staff member’s name.
- In their profile, go to the ‘Details’ section.
- Scroll to the bottom and un-tick the box that says ‘They are currently working here’.
- Add an end date and click ‘Save changes’.
To view archived staff:
- Go back to the ‘Staff’ section.
- Click on the ‘Archived’ tab.
- Archived staff will be listed there.
- You can 'unarchive' staff by ticking 'They currently work here' and clicking 'save changes'.
How to Permanently Delete a Staff Member
Only delete someone if you are certain they will not return.
- Go to the Single Central Record tab in your vetting dashboard.
- Click on the staff member’s name.
- Open the ‘Details’ tab.
- Scroll to the bottom and click ‘Delete staff member’.
- A warning will appear – click ‘Delete’ again to confirm.
This will permanently delete the staff member. They will be completely removed from your SCR and cannot be recovered.
