Messaging a school

You can send a message directly to a school through the app. This is the best way to communicate with a school about an upcoming or current booking - it keeps everything in one place and ensures your message reaches the right person.


How to message a school

  1. Tap Calendar in the bottom navigation bar
  2. Tap the booking for the school you want to message
  3. On the Booking page:
    • If you have messaged this school before, tap the message icon in the top right corner
    • If this is a new school, scroll down the Booking page and tap the envelope icon to start a new conversation

How to communicate professionally with schools

Schools are busy places. A clear, professional message makes a good impression and is more likely to get a quick response.

Keep it brief and to the point. Schools do not need long explanations - say what you need to say in a few sentences.

Be specific. Include the date of your booking and any relevant details so the school knows exactly what you are referring to.

Stay positive and respectful. Even if you are raising a concern or a problem, keep your tone calm and courteous. You are representing yourself as a professional every time you communicate.

Examples of good messages:

"Hi, I am booked at your school this Friday as a Year 4 teacher. Could you let me know where to report on arrival and who to ask for? Thank you."

"Hello, I wanted to let you know I am running approximately 10 minutes late this morning due to a delayed train. I am on my way and will be there as soon as possible."

"Hi, I am booked with you next Tuesday. Could you let me know if there is anything specific I should prepare or be aware of before I arrive? Many thanks."

Avoid chasing the school repeatedly. If you have not heard back within a reasonable time, contact the Zen Educate support team rather than sending multiple messages to the school.


Need to report an absence or lateness?

If you need to report that you cannot make a booking, do not use messaging for this -  you must report it through the app. Take a look at How to Report an Absence.
